Terms and Conditions - Trails and Tails Events

1. Definitions:
The following definitions shall apply to these Conditions:

  • Agreement: The agreement between you and Trails and Tails Events, governed by these Conditions of Entry.
  • Event: The four mile and eight mile races organised by Trails and Tails Events.
  • Entry Fees: The fee paid to Trails and Tails Events for participation at the point of entry.
  • Participant: The person competing in the Event, whose details were provided to Trails and Tails Events.

2. Entry Policy:
2.1 By providing your details, applying, and paying your Entry Fees, you agree to enter the Event organised by Trails and Tails Events and abide by these Conditions of Entry and any instructions given by Trails and Tails Events officials.

2.2 All participants must be 18 years of age or older to register and participate in any event.

2.3 Trails and Tails Events shall not be liable for any injury or loss occurring as a result of participation, except in cases of negligence or other liability that cannot be excluded by law.

2.4 Participants will receive a race bib/number, which must be used as per instructions in the race guide.

3. Canicross-Specific Rules:
3.1 Dogs & Equipment:

  • Participants may run with one or two dogs.
  • Dogs must be attached to the runner using a proper canicross harness.
  • Restrictive harnesses, such as Julius K9-type harnesses, are not permitted.

3.2 Dog Age & Welfare:

  • Dogs must be at least 18 months old to participate in canicross.
  • Dogs must be fit, healthy, and properly trained before competing.
  • The organisers reserve the right to withdraw any dog they do not feel is fit to run.
  • No harsh handling of dogs is tolerated. Any participant found engaging in harsh handling will be disqualified and potentially banned from future races.

3.3 Race Conditions & Safety:
If the organisers deem conditions too warm, the Canicross race may be cancelled or converted into a dog-free run for safety reasons.
Participants must conduct their own risk assessment before running in warm conditions.
If temperatures exceed 16°C, the organisers will evaluate the risk and may cancel or modify the race.
Participants must monitor their dogs for signs of overheating and take appropriate action to ensure their welfare.

3.4 Race Start & Course:

  • Canicross participants will start 5 minutes before non-dog runners but will run the same course.
  • This ensures a smoother start for all participants and reduces congestion on the route.

3.5 Trail Etiquette:

  • Participants must be courteous on the course and give clear verbal signals when overtaking, such as “Trail Left” or “Trail Right.”
  • Some dogs may be reactive; if a dog is wearing a yellow sign, give extra space when passing.
  • Reactive dogs are welcome, but participants must maintain full control at all times.
  • Dogs must be kept on a lead at all times at the event venue.
  • Bitches in season are not allowed to race or be present at the venue.

3.6 Insurance & Venue Rules:

  • Canicross competitors must have their own personal insurance (e.g., through BSSF or similar providers).
  • Participants must dispose of dog waste responsibly and take waste bags home.
  • All dog waste must be picked up and removed from the venue. There will be no facilities for disposal, so participants must take waste with them.
  • Dogs must remain on a lead at all times. Any participant allowing their dog off-lead will be asked to leave the venue immediately without a refund.

4. Medical Conditions:
4.1 Participants should prepare adequately and train for the Event. Participation is at their own risk. Those with medical conditions should consult a doctor before entry and note any relevant information on the reverse of their race number.

4.2 Participants confirm they are fit to compete. If their medical condition changes before the Event, they should withdraw. By participating, they consent to medical treatment if required.

4.3 Trails and Tails Events may prevent participation if deemed necessary for health reasons. No refund will be issued.

5. Race Numbers:
5.1 Race numbers will be available for collection from the race office on the morning of the event.

5.2 Trails and Tails Events will attempt to provide an official finish time but is not responsible for any anomalies or technical malfunctions.

5.3 Personalisation of outfits or race numbers deemed offensive or political is not permitted.

6. Transfer of Entry:
6.1 Participants may transfer their entry to another Trails and Tails Events event in the same calendar year or to another person, provided the preferred Event is not closed for entries. Transfers must be completed at least six weeks before the Event.

6.2 Transfers to another event must be requested via trailsandtails.yorkshire@gmail.com with a £5 transfer fee and any applicable fee difference.

6.3 Substitutions or Selling to another person must be completed via SiEntries Edit My Entry

7. Deferral:
7.1 Participants who volunteer at the Event instead of competing will receive a complimentary entry for the following event/year.

7.2 Complimentary entries cannot be deferred or transferred. Once a deferral request is confirmed, it becomes non-refundable.

8. Refunds:
8.1 A full refund (minus processing fees) is available within 14 days of entry purchase. After this period, refunds will not be provided.

8.2 Refund requests must be made in writing via the online enquiry form on the website, including full participant details.

8.3 If the Event date changes (excluding Force Majeure), participants unable to attend the new date may request a refund within 14 days of notification.
